QUT Printing Services (QPS) provides digital multifunction devices, printers and copiers under the Staff Copier Rental Plan. QPS purchases from manufacturers listed in the QLD Government Purchasing Guide SOA 652 and internally leases the device back to the responsibility centre over 5 years. The provision of this service is subject to QUT's Manual of Policies and Procedures F/4.2. Printing services and QUT Finance Management Practice and Procedure Manual, Asset Leasing, 8 (C). 4.
QPS promotes the use of multi-function devices as a way of reducing the total cost of ownership. This is achieved by reducing the purchase, maintenance and support cost associated with office equipment. Benefits can be gained through combining the copy, print, scan and fax capabilities or at least combining the functionality critical to the area. QPS can assist you in making your decision to upgrade and save.
To make the cost recovery price transparent and consistent for the 5 year life of the machine, QPS cost recovers the initial purchase outlay and ongoing service copy cost charge through a two part internal lease arrangement. The first part is the total cost of the equipment including QPS support, charged as a monthly fee. The second part is the manufacturer's service copy cost calculated against the actual monthly copy count.

No Upfront Financial Outlay
QPS will purchase, install, maintain and administer your digital multifunction device.
By not expending your available cash reserves on office equipment, you are freeing up funds for deployment in other areas.
The QPS offer means that your outlay for the multifunction device is spread over a five-year period rather than just from the current budget.
External companies tend to not consider an individual department of QUT as a significant client and there are examples where treatment has been less than satisfactory.
QPS is able to exert significant leverage on suppliers in terms of ongoing support and responsiveness in the on-going service and support relationship.
Service
QPS will monitor the service performance of the service company in terms of response rates, down time and effectiveness of the service response.
When and if you experience problems with your machine, QPS will respond in the first instance to investigate the problem and in many cases can provide a remedy without calling the external service agents.
QPS provide routine pro-active servicing by visiting and testing all devices under our management on a routine basis to find problems before they cause down time.
QPS can undertake minor servicing roles like adding toner or removing paper jams on your behalf.
Expertise
QPS has staff involved on a daily basis with the management of photocopying and printing facilities. QPS strives to maintain pace with the technological changes that is occurring in the photocopying and printing industry. This experience and knowledge gained from photocopying and printing market place ensures the correct placement of equipment to suit your areas individual needs.
Administration Costs
All administration to do with the multifunction device will be undertaken by QPS saving time in your department.
One internal invoice each month will be your sole requirement in terms of administration of this multifunction device.
Cost centre breakdowns can be provided if this is required.
Volumes
The manufacturer sets a copy cost to cover the on-going service, maintenance and toner costs.
You pay for copying undertaken, after you have performed the copying.
QPS will cost recover the manufacturer's copy cost fee based on the actual monthly copy count.
QPS will charge a flat rate to cover the financial outlay to purchase the equipment and the on-going support for the equipment over its 5 year life.

Consumables
QPS prices do not include consumables such as paper or staples.
QPS can provide stock of these items upon request.
